VENUE & SITE PLAN:
Our team will work closely with you to select the right venue for your event. We review all contracts and make recommendations on menu option. We coordinate with the venue in developing an appealing site plan and layout design.
OVERALL PRODUCTION:
We will create a “minute-by-minute” event day Run of Show, that includes timing for lighting, sound, and video. If you have live music, we will work closely with the management team of any artists to build their needs (sound check and timing) into the ROS and negotiate their rider “requests.” We will assign a seasoned stage manager to follow script on event day and manage all expectations professionally.
CATERING & RENTALS:
We will gather competitive bids from multiple vendors and, when necessary, schedule showroom visits (chairs, tables, linen and décor) and tastings before making final decisions.
VENDORS:
EEG will coordinate all vendors including caterers, rentals, photographers, printers, award supplier, entertainment, etc. We will coordinate delivery of all materials to the event site.
REGISTRATION:
EEG will create an cloud-based registration list based on the guests’ names received during an extensive phone outreach campaign. If you are having a sit-down dinner, we will work with you on the appropriate placement of sponsor tables as well as strategic placement of individual ticket donors.
PROGRAM:
EEG will work closely with your staff to construct an event day timeline and coordinate speakers. Your organization will script program-related material. EEG will be available for reviewing and proofing.
VOLUNTEERS:
EEG will coordinate duties and responsibilities of volunteer and staff. Typically volunteers are needed at registration, as greeters, at auction tables & check out, and for gift bag stuffing & distribution. If necessary, we can supplement your volunteer staffing needs.
